Privacy Policy

1. What We Collect

We collect information you provide directly, such as account details, consultant and firm information, and student or family data entered into the platform. We also collect standard usage data (log data, device information) to operate and improve the Service.

2. How We Use Information

We use collected information to provide and improve the Service, communicate with account holders, process billing, and provide customer support. Student and family data is used only to deliver the consulting workflows the consultant configures.

3. Data Sharing

We do not sell personal information. We share data with service providers (such as hosting and infrastructure vendors) only as needed to operate the Service, under confidentiality obligations, and as required by law.

4. Connected Google and Microsoft Accounts

You can choose to connect a Google or Microsoft account to Meridies, for example to bring in files from Google Drive or OneDrive, or to add Google Meet or Microsoft Teams links to meetings. Connecting is optional, and Meridies accesses a connected account only as described in this section.

• What we access. We read the account's email address, so you can see which account is connected. For files, we can open only the files you pick in the Google or Microsoft file picker; the rest of your Drive or OneDrive stays out of our reach. If you turn on calendar features, we can create and update the calendar events you schedule through Meridies, including their Meet or Teams links.
• How we use it. Files you bring in become part of your Customer Data under our Terms of Service and are used only to provide the Service to you. AI features may process a file you bring in only to generate output for you, as described in Section 9 of our Terms of Service. We do not use information from a connected account to train AI models or for advertising, and we do not sell it.
• How we protect it. The access tokens that let Meridies reach a connected account are encrypted at rest.
• Disconnecting. You can disconnect an account at any time in Meridies. We then delete the stored tokens, and for Google we also revoke our access with Google. For Microsoft, you can also remove Meridies from the apps listed in your Microsoft account settings. Files you already brought in stay in Meridies as Customer Data until you delete them.
• Google API Services. Meridies's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Read the policy

5. Time Saved Reports

To show you how much time Meridies saves you, we measure how long you actively spend on certain tasks in Meridies, such as building a college list. For each finished task we keep the total active time, the task type, the student it was for and the date it was finished, along with the time and hourly-rate figures you entered. While a task is still in progress we keep its running total and when you last worked on it: the exact time is deleted within 24 hours and only the date is kept, and an unfinished task with no activity for 14 days is deleted. We don't keep a moment-by-moment record of your activity, and we don't track anything you do outside Meridies. Your detailed numbers are visible only to you. If you work in a firm, your firm's administrators see combined totals for months that have ended, and only when at least three consultants contributed; they never see your individual numbers or your hourly rate. We may publish anonymized summary figures, such as typical time saved, drawn from at least 10 consultants at 5 or more firms; these never identify you, your firm or any student. You can turn off the monthly email at any time.

6. Student and Family Data

Consultants and consulting practices act as the data controller for student and family information they enter into Meridies. Meridies acts as a data processor, handling that information solely on the consultant's instructions and for the purposes of delivering the Service.

7. For Enrolled Students & Parents

Families of students working with a Consultant who uses Meridies receive a consent form directly from their Consultant by email. The form explains how Meridies uses AI tools, stores student information, and supports meeting notes, and it asks a parent or guardian for permission before services begin. Students who are 18 or older also sign the form.

If you are a parent or student and have not received this form, need a new copy, or want to withdraw consent or request deletion, please contact your Consultant or email team@meridiesai.com.

8. Data Retention

We retain account and student data for as long as an account is active, or as needed to provide the Service. Consultants may request deletion of their account and associated data, subject to legal retention requirements.

9. Security

We use industry-standard technical and organizational measures to protect data against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Choices

You may access, correct, or request deletion of your account information by contacting us. Consultants are responsible for managing consent and data rights for the students and families they represent.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated to active account holders.
